Terms and conditions of the conference
Rules and regulations of the NuGOweek 2026 – Healthy aging through diet
§1. General provisions
- The NuGO week 2026 will be held on 31. August to 2. September 2026 in Olsztyn (Poland). The event combines scientific sessions in the auditorium a networking part in a restaurant.
- The event is organised by InLife Institute of Animal Reproduction and Food Research of the Polish Academy of Sciences in Olsztyn.
- The aim of the conference is to present the results of scientific research, exchange experiences and integrate the scientific community.
- The conference language is English.
§2. Definitions
- Active participant – a natural person who has registered using the registration form available on the event website https://nugo2026.pan.olsztyn.pl and has submitted a presentation or poster as part of the “Call for Abstracts”, which has been accepted by the scientific committee;
- Passive participant – a natural person who has registered using the registration form available on the event website https://nugo2026.pan.olsztyn.pl, listens to presentations, participates in discussions and accompanying events.
- Scientific conference – an event comprising a scientific part in the auditorium and a networking part (dinner in a restaurant), organised on the date specified in §1(1).
- Regulations – this document setting out the rules for participation in the scientific conference and the conditions for data processing.
- Scientific committee – a group of eminent scientists in the field of nutrigenomics and related fields, appointed by the Organiser to ensure the high substantive level of the conference, primarily for the purpose of verifying and selecting abstracts submitted for the scientific conference.
- Application – an online registration form at https://nugo2026.pan.olsztyn.pl expressing the desire to participate in the conference as an active or passive participant, including acceptance of the rules and regulations and legal regulations regarding the processing of personal data.
- Abstract – summary (max. 1,200 characters including spaces) of the presentation or poster. The abstract should also include: title, presentation of the author(s) and their affiliation.
§3. Conditions of participation
- The condition for participation in the conference is the completion of the application form.
- Providing data is voluntary but necessary for participation. The rules for data processing are available in the link below the registration form at https://nugo2026.pan.olsztyn.pl and in § 9 of the Regulations.
- The organiser does charge participants for participation in the scientific conference based on the fees public available at the conference page https://nugo2026.pan.olsztyn.pl. Participants cover the costs of travel to Olsztyn and accommodation themselves.
- The number of conference participants is not limited.
- Early bird registration with reduced fees is open until 31. May 2026.
- Registration for passive participants is open until 20 July 2026.
- Registration for active participants is open until 10 April 2026.
- Participants are required to confirm their attendance at the scientific conference by signing the attendance list prepared by the Organiser.
- Participants are required to comply with these regulations, safety rules, health and safety regulations and organisational instructions in force at the venue of the scientific conference.
§4. Evaluation of abstracts
- The scientific committee will evaluate the submitted abstracts in terms of their relevance to the conference theme and scientific value.
- The results of the evaluation will be announced by 30 April 2026 at the latest via email to the active participant. Participants with accepted abstracts will be invited as speakers or to the poster session. The Scientific Committee will decide on the form of the presentations.
- Active participants giving oral presentations are required to prepare a multimedia presentation and submit it to the Organiser no later than 5 days before the conference. Presentations shall last a maximum of 15 minutes including Q&A.
§5. Networking and additional attractions
- The Organiser is not responsible for the behaviour of participants during the networking session. In the event of a breach of safety rules, the Participant will be excluded from further participation in the networking session.
- The Organiser reserves the right to cancel this part or change the schedule due to force majeure (unforeseen circumstances).
- The Organiser may provide Participants with additional optional attractions during the conference.
§6. Safety rules
- Persons who are intoxicated or under the influence of intoxicating substances, or who disturb the peace, will be refused entry and may be removed from the event.
- The organiser reserves the right to use CCTV to ensure the safety of participants.
- Participants are responsible for their own belongings. The organiser is not responsible for property lost or left unattended by participants.
- Participants bear full responsibility for any material damage or personal injury they cause. The organiser is not liable for damage caused by third parties or through the fault of the injured party.
- The organiser is not liable for damage caused by force majeure (e.g. pandemic, natural disaster).
§7. Consent to image recording
- The organiser will provide a photo report of the conference. The organiser may broadcast the conference online and record it for informational and promotional purposes.
- Participation in the conference is tantamount to granting free, unlimited consent, in terms of time and territory, to the recording, processing, reproduction and dissemination of the participant’s image in any form, in particular on the Internet, social media, in the press and in promotional materials. The participant waives any claims arising from the use of their image.
§8. Final provisions
- The Organiser reserves the right to make changes to the conference programme and schedule, of which it will immediately inform the Participants.
- Any changes to the rules and regulations and the conference programme will be published on the conference website.
- In matters not covered by these regulations, the provisions of Polish law shall apply.
- Any disputes arising from participation in the conference shall be settled by the court competent for the Organiser’s registered office.
§ 9. Processing of personal data.
- By registering for this event, the participant agrees that personal data will be processed for registration and handling purposes, as well as to send information in connection with the event. Any personal data will be solely used in accordance with current EU data protection legislation (GDPR) and will not be disclosed to a third party without written consent.
- In accordance with the provisions of Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation) OJ EU L 2016 No. 119, p. 1, as amended, we hereby inform you that the controller of personal data is InLife Institute of Animal Reproduction and Food Research of the Polish Academy of Sciences in Olsztyn, ul.
